Private AI for federation staff

Staff want AI for drafting, translation and summaries. The documents they would paste in, such as rule changes, disciplinary files and board papers, are the ones that must stay inside. We run private AI with open models on your hardware and Open WebUI or LibreChat as the interface.

Member data you own

Registrations, licences, officials and national member records sit in a database you control, such as NocoDB on Postgres, with access per department and per member federation through Keycloak. The nLPD page explains how we handle personal data as your processor.

Event operations without the SaaS sprawl

Entries, accreditation, results and invoices usually travel through a dozen SaaS tools. n8n workflows on your machines connect them, or replace them, so the data from each competition stays with you. The automation page shows what that looks like.

How we start with a federation

  1. Briefing in Lausanne

    We meet your IT, legal and operations teams, map your apps and data, and mark the competition calendar.

  2. Placement decision

    Together we decide what runs on your servers, what runs in Switzerland and what stays where it is.

  3. Fixed-price onboarding

    We install the apps, connect Keycloak or Entra ID and migrate data off the SaaS tools you are leaving, outside your event weeks.

Questions

Can staff use AI on confidential federation documents?

Yes. Open WebUI or LibreChat runs on your machines with open models hosted there. Draft regulations, disciplinary files and board papers stay inside your environment, and no prompt goes to a public AI service.

How do you handle athlete health and anti-doping information?

Under the Swiss nLPD, health data is sensitive personal data and needs stricter handling. We keep it in the apps and locations you name, restrict access to the roles you define, and record every administrative access. Pilae acts as your processor under a data processing agreement.

What happens to our systems during a major competition?

We agree a change freeze for the event weeks you list, size capacity ahead of entry deadlines and competition days, and keep monitoring running around the clock. Around-the-clock incident response is part of the Enterprise plan.

Can national member federations use the same tools?

Yes. Keycloak gives each member federation its own accounts and roles, so they reach the forms, files and data meant for them and nothing else.
